How we handle your information when you visit PropertyReady, make an enquiry or book a service.

Who is responsible
Workstay Living Ltd, trading as Property Ready (PropertyReady), is the controller for the personal information we use to manage our website enquiries, customer relationships and business records. For privacy questions or requests, email hello@workstay.uk or call 07418 611018.

Information we use
This may include your name and contact details, client type, property address or postcode, service requirements, timescale, messages, quotations, booking and payment records. For a job, it may also include authorised access details, relevant occupier or representative contacts, reports and photographs. We may receive these from you or an authorised agent, owner, executor or other instructing professional.
Provide only what is needed. Avoid including identity documents, financial credentials, health details or unrelated personal information in an initial enquiry. Necessary access instructions should be agreed directly before the visit.
Why we use it
- To respond to your request, prepare a quotation and deliver a contract with you: taking steps at your request before a contract and performing that contract.
- To manage business contacts, instructions from representatives, property access, service quality, security and complaints: our legitimate interests in running and protecting the service, balanced against individuals’ rights.
- To keep records required for tax, accounting and other applicable obligations: compliance with a legal obligation.
- Where consent is required, such as certain promotional messages or optional tracking: consent, which you can withdraw without affecting earlier lawful use.
We need sufficient service and contact information to respond or deliver a booking. If it is not provided, we may be unable to proceed. Enquiring does not automatically subscribe you to marketing.
The enquiry form and WhatsApp
The website form prepares a message in your browser. It does not submit that form to a PropertyReady database. Continuing to WhatsApp opens WhatsApp with your message; you decide whether to send it. The message content is passed to WhatsApp when you follow that link. WhatsApp/Meta handles information under its own privacy policy. Messages sent to us become part of our business correspondence.
Who receives information
We share relevant information with the team members and service providers needed for your instruction, such as cleaners, contractors, surveyors and estate agents. A separately appointed professional may be an independent controller and will provide its own privacy information. We also use website hosting, communications and business administration providers, and may disclose records to professional advisers, authorities or others where legally required.
Information is limited to what is needed for the purpose. Where we act only on a professional client’s documented instructions as a processor, the relevant data-processing agreement sets out those responsibilities.
Website technology and cookies
The current website does not include advertising pixels or a visitor analytics dashboard. Our enquiry form does not use browser storage to retain your entries. Hosting and delivery providers may process technical information such as IP addresses, browser details and request logs for delivery and security.
Fonts load from Google Fonts and photographs load from Unsplash, so your browser connects to those providers and shares technical request information. Their own privacy notices explain that processing: Google and Unsplash. WhatsApp and other linked websites may use their own cookies when you visit them. We will update this notice and obtain consent where required before introducing optional tracking.
International processing
Communications, hosting and other technology providers may process information outside the UK. Where we are responsible for a restricted transfer, the applicable protection must be in place, such as UK adequacy regulations or approved contractual safeguards with any required additional measures. Contact us for information about the safeguards relevant to your data. Separately controlled services describe their international processing in their own notices.
How long information is kept
We retain information only for as long as needed for its purpose. We assess enquiry records against whether the enquiry remains active or may reasonably lead to work; service records against delivery, follow-up and dispute needs; and financial records against applicable tax and accounting requirements. Relevant legal claims or record-keeping duties may require longer retention. Access details are kept only while needed for authorised access. We review records and delete or anonymise information no longer needed.
Your rights
Depending on the circumstances and lawful basis, you may request access, correction, deletion, restriction or a portable copy of your information, and object to processing based on legitimate interests. You can object to direct marketing at any time. Where we rely on consent, you may withdraw it. These rights are not absolute; we explain any lawful reason a request cannot be fully met.
Contact us using the details above. We may need to verify your identity and normally respond within one month, subject to lawful extensions. We do not use your enquiry to make solely automated decisions with legal or similarly significant effects.
You can complain to the Information Commissioner’s Office (ICO) or call 0303 123 1113. You do not have to complain to us first, although we welcome the opportunity to address your concern.
